SOCS Music - Instrument Loans

SOCS Music includes a tool to help with the management the school's instrument resources, making it easier to track availability and maintain accurate records.


Here you can find out how to view instrument loans and also how to loan a specific instrument from your inventory list to a pupil.  


Viewing Loans


To view and manage instrument available to loan, follow these steps:


Step 1

Login to SOCS Music 


Step 2 

Select Instruments in the left-hand menu.


This will reveal a list of instruments offered for music lessons by your school - not a list of individual instruments owned by the school.




Deleting or switching off an instrument from this list mean the instrument will not be available to add pupils or music session and lesson to.  



Step 3

Select the Inventory button alongside the relevant instrument

 


The inventory allows you to add the individual items owned by your school for an instrument. 

E.g. it the school owns 3 violins, you can go into the Inventory for Violin and add 3 individual violins to the list, each with a different name.

If a violin is no longer owned by the school and is therefore not available to be loaned out any more, you can edit it and un-tick the “In-service” option. This item will then be retired and taken out of service making it unavailable for loans (this is different from when an item is not available because it is “out on loan”).



Step 4

Select the Loans button alongside an instrument to view loan details. 


Loaning an Instrument from your Inventory to a Specific Pupil


To loan a specific instrument to a specific pupil for a period of time, follow these steps:


Step 1

Login to SOCS Music


Step 2

Select Pupil List in the left-hand menu.

Step 3

Use the pupil list filters to find the specified pupil


Step 4

Select the Instruments button for the pupil to open the instruments pop up.


Step 5

Add the correct instrument to the pupil by selecting the +Add Instrument button at the top and select the instrument from the drop-down menu. Add any other details as necessary including grade and notes. 

  


The drop-down menu here contains the schools' available instrument list.


Step 6

Select Loans alongside the relevant instrument and click the +Add Loans button


Step 7

Complete the loan form with the relevant loan details including and Save.


The item will not be available for other pupils within the dates specified for the loan.  Loans will appear on the Pupil Billing report based on the loan dates entered here.
